1 Conference proceedings will be in electronic format only. No hard copies of the proceedings will be provided.

2 Welcome reception will take place on Tuesday evening, 23 June 2020.

3 Conference banquet will take place on Thursday night, 25 June 2020.

4 A tour in Nafplio and/or Epidaurus is scheduled for Wednesday 24th of June 2020 (TBC).

At least one author of the paper must register at a non-student rate in order for the camera-ready paper to be included in the proceedings published on IEEE Xplore ®.

One of the authors (or a qualified substitute) must present the paper at the workshop. Please note that papers which are not presented in person at the workshop will not be included in the proceedings published on IEEE Xplore ®.

You must be an IEEE member at the time of registration to receive the respective member discount. Your IEEE membership number is requested in the registration form. To join IEEE please visit https://www.ieee.org/join.

To be eligible for the early registration fee, payment of registration must be received by May 2, 2020. Registration rate will change automatically to ‘late’ at 00:00 CET on May 3, 2020. Registration payments after that date will be charged with the regular registration fee.

Participation of accompanying persons in the social events (welcome reception and banquet) is possible at an extra cost.

Author No Shows

IEEE reserves the right to exclude a paper from distribution after the conference/workshop (e.g., removal from IEEE Xplore) if the paper is not presented at the conference/workshop.

IVMSP 2020 requires that each accepted paper be presented in-person by one of the authors or a qualified substitute at the workshop site according to the schedule published in the technical program. Any paper accepted into the technical program, but not presented on-site will be withdrawn from the proceedings published on IEEE Xplore ®.

Cancellation/Refund policy

Cancellations must be made in writing by Email to secreteriat@ivmsp.org

Cancellations will be subject to a processing fee of 50 EUR by May 30, 2020. No refunds will be made after May 30, 2020.

Visa and Invitation Letters

For visa purposes, the workshop organizers will issue official invitation letters to those participants who have requested, given that their registration is completed.

Specifically, delegates requiring an invitation letter in order to attend the Workshop may request it in writing to the IVMSP Secretariat (secreteriat@ivmsp.org) specifying the necessary details. Please note that this procedure aims to assist delegates, who need to obtain a visa or permission to attend the Workshop. It is not an official invitation covering fees and other expenses and does not imply any financial support from the Workshop.

Please make sure that in your request to the IVMSP Secretariat you include:

  1. Name, postal address, and a valid email address.
  2. Paper number, if you are presenting a paper.
  3. The words “invitation letter request” in the subject field of your email request.

The invitation letters will be emailed in a printable color pdf format and will state (a) the Workshop title, dates, and location, (b) that the requester has paid the required registration fee in full, and (c) whether the requester is a Workshop Committee Member or author of a paper.

Attendees who need visas are advised to apply to the respective consulate/embassy no later than 2 months prior to the Workshop. For visa information, please visit the Greek Ministry of Foreign Affairs.

Personal Insurance

The organizers cannot be held responsible for accidents to workshop participants or accompanying persons, for damage or loss of their personal property or for cancellation expenses, regardless of cause. Therefore, participants should make their own insurance arrangements. Please consult your local insurance sources regarding relative coverage.
